One journal entry per signed-off day, and none that don’t balance.
The day’s journal entry is built from the lines of the report your night auditor signed. Each hotel transaction code (your code, your name) points to a general ledger account, and from there the double entry writes itself: the guest’s charges debit the guest folio and recognize the revenue, the payment goes to cash or bank and reduces the folio, and taxes go to the taxes payable account as a liability.
How it works
Set up the chart of accounts
A base chart of accounts for Mexico, with the SAT grouping code on every account and the hotel’s account roles already defined.
Map your transaction codes once
Your codes (001 room charge, 080 cash payment, 086 bank transfer) are assigned to their accounts. The screen tells you how many are left.
Your night auditor signs off on the day
Same as always. Nothing changes in operations.
The journal entry is generated
Numbered sequentially by month, linked to the signed-off day and to the UUIDs of that date’s e-invoices (CFDI).
If an account is missing, nothing is half-posted
A day with an unmapped transaction code isn’t posted halfway: it stays pending and shows up in the month-end close as a signed-off day with no journal entry.
What’s included
- Automatic revenue journal entry for each signed-off day, numbered sequentially by hotel and month.
- Manual journal entries for whatever doesn’t come from the day: adjustments, accruals, reclassifications.
- A journal entry is never edited or deleted: if it needs correcting, a reversing entry is recorded, along with the reason.
- General ledger by account, with its transaction detail.
- Each line keeps the transaction code that produced it, so you can go from the entry to the document.
- The day’s taxes, as a liability in their taxes payable account; never as revenue.
- Each journal entry linked to the e-invoices (CFDI) issued that day.
- The day’s currency taken from the property.
The limit
A day that hasn’t been signed off has no journal entry. That’s on purpose: the accounting doesn’t get ahead of operations. And a closed month takes no new entries until someone with permission reopens it, which is recorded.

Can I edit a journal entry?
No. You record a journal entry that reverses it and enter the correct one. An entry that can be edited isn’t an entry.
What happens if I correct a charge from three days ago?
A signed-off day is never recalculated: the report your night auditor signed still says what was signed. Adjustments to room revenue for nights already signed off are posted on the day they’re made.
