What it is
A manual póliza (journal entry) is the one your accountant captures for anything that does not come from the signed day. It is recorded as an adjustment póliza, takes the next number of the month and flows into the trial balance, the financial statements and the account ledger like any other.
When you use it
- Opening entry: the balances a hotel brings from another system (coming from another system).
- Month-end accruals.
- Reclassifications between accounts.
- Corrections: a signed day is never recalculated, so the adjustment is recorded with its own date.
Step by step
- Open Containn → Pólizas and click Capturar póliza (capture a póliza).
- Pick the Fecha (date) on the calendar and type the Concepto (description), for example: Opening entry · balances as of December 31.
- On each line choose the Cuenta (account), type its description and enter the amount under Debe (debit) or Haber (credit). If you leave a line's description blank, it takes the póliza's.
- Use Agregar renglón (add line) when you need more; the póliza starts with two.
- Watch the balance notice: it says Cuadra (balanced) with the amount on each side, or how much is left over on the debit or credit side.
- Click Guardar póliza (save póliza). It appears in the list with its number for the month.
The rules
- It balances to the cent or it is not saved: Guardar póliza stays disabled while there is a difference.
- It needs at least two lines with an amount. Zero lines are dropped.
- A line carries a debit or a credit, never both, and no amount can be negative.
- It only accepts active, posting-level accounts.
- The póliza description is required.
- The date must fall in an open month.
To capture one you need the Capturar facturas, pagos y bancos permission (capture invoices, payments and banking) or Configurar el catálogo y el mapeo (set up the chart and the mapping), granted in Settings → My team. The hotel's owner and administrator can always do it.
What can go wrong
- The month is already closed. No póliza dated in that month gets in. Someone with the special permission reopens it (reopening).
- You cannot find the account in the list. Only active, posting-level accounts appear: if the one you want is a summary account, use one under it; if it is inactive, activate it in the chart of accounts.
- You spot a mistake after saving. A saved póliza is never edited. See canceling a póliza.
Currency
Today a manual póliza is recorded in Mexican pesos (MXN): it does not carry another currency or an exchange rate.
