The five accounting permissions

View, configure, record, close the month and reopen it: what each Containn permission allows, who grants it, and how to separate duties.

What it is

Access to Containn is granted per person and per hotel in Settings → My Team. The checkbox for the Containn section is what makes the accounting menu appear; inside the section there are five permissions, so whoever records entries isn't necessarily whoever closes the month. The screen shows them in Spanish; here they are with a translation.

When you use it

When you add your accountant or an accounting clerk, and whenever someone changes roles. For example, in a 40-room hotel: the clerk with View and Record, the outside accountant with View, Configure and Close the month, and reopening left only to the owner.

Step by step

  1. Go to Settings → My Team and edit the person.
  2. With the Staff role, under Acceso por sucursal (access by property), check the hotel and the Containn section. Checking it automatically ticks the first four permissions.
  3. Open the section and untick whatever doesn't apply.
  4. If they should be able to reopen, tick Reabrir un mes contable cerrado by hand: neither Palomear todo (tick all) nor the role templates include it.
  5. Save.

The Owner (Dueño) and Administrator (Administrador) roles have full access, special permission included, and they're the only ones who can change other people's access.

Rules worth knowing

  • What isn't ticked can't be done. A person who was never configured can do everything in their sections except special permissions; as soon as you save their permissions, exactly what's ticked applies.
  • A special permission is denied by default: nobody has it until it's granted to that person.
  • Removing the Containn section also removes its five permissions.
  • Signing the day lives in Finances, with its own permissions: Cerrar el día de operación (close the business date) and Reabrir un día cerrado (reopen a closed day), which is also special.

What can go wrong

  • The Contador (accountant) template doesn't include Containn. It's designed for collections; if you use it, add the Containn section and its permissions.
  • Two permissions from other sections also open doors here. Datos del negocio (business details, under Settings) can configure the chart of accounts, the mapping and bank accounts; Aplicar pagos y cobranza (apply payments and collections, under Finances) can record supplier invoices, their payments and bank transactions. Review them if you want to separate duties.
  • Unticking only View accounting doesn't hide the menu. To stop someone from seeing the books, uncheck the whole section.
