What it is
The account ledger (auxiliar) shows the movements of a single account in a period: Fecha (date), Póliza (its number), Concepto (description), Debe (debit), Haber (credit) and the Saldo (balance) left after each movement. The opening and closing balances appear at the top. It is the next click from the trial balance: there you see the balance the account ended with; here, what left it there.
The description is the one on the póliza (journal entry) line. On the daily póliza, each line carries the code and name of the hotel concept that created it (for example, “001 · Renta”), and the guest account shows, for each signed day, its “Consumo del día a cuenta de huéspedes” (the day's charges to guest accounts) and its “Cobros del día” (the day's collections). On pólizas created from other screens, the description says where they come from: the supplier invoice's description or number, the payroll period, the month's depreciation.
Only active pólizas count: a cancelled póliza does not appear in the account ledger, the trial balance or the financial statements.
When to use it
- To find the movement that explains a balance you did not expect.
- To check an account against an outside document: the bank statement or a supplier's statement.
- To show an auditor where an amount comes from.
Step by step
- Open Containn → Balanza de comprobación (trial balance) and choose the period.
- Click the account. Its ledger opens for the same period.
- Go through the movements. The balance in the last column follows the account's normal balance, just as in the trial balance.
- With the date and the number, you find the full póliza under Pólizas, in its month: numbers run consecutively within each month.
What can go wrong
- “Esta cuenta no tuvo movimientos en el periodo; su saldo viene de antes” (no activity in the period; the balance comes from earlier). Choose Del año a la fecha (year to date) or an earlier month to see where it comes from.
- The ledger is cut off. The screen shows up to 500 movements per period. When it is cut off, the closing balance at the top is the balance after the last movement shown, not the period's: the true closing balance is in the trial balance. To see everything, choose Solo el mes (month only).
- A movement you expected is not there. Either its póliza is cancelled, or the day has not been signed, or its póliza was not generated (why a póliza is not generated).
- A movement dated differently from the day it corrects. A correction is recorded on the day it was made, not on the day it corrects: a signed day is never recalculated.
